Mobile Purchase Requests & Smarter Recurring Service Plans

What’s New in ToolWatch: July 2026 Release Summary

Managing purchasing and equipment maintenance just got even easier with the latest ToolWatch release.

This update introduces Purchase Requests & Approvals on the ToolWatch Mobile App, making it possible to keep purchasing workflows moving from anywhere. We've also added a new Due Date Offset option for Recurring Service Plans, giving maintenance teams more flexibility when scheduling recurring work.

Here's what's new.

Create and Approve Purchase Requests from Anywhere

Purchasing doesn't always happen from a desk. Whether you're managing a warehouse, working in the field, or overseeing multiple jobsites, approvals often need to happen wherever work takes you.

With this release, authorized users can now create, review, and approve Purchase Requests directly from the ToolWatch Mobile App.

Field and warehouse teams can submit Purchase Requests as soon as a need is identified, while designated approvers can review requests, collaborate with the requester when questions arise, and approve or reject requests—all from their phone.

Everything stays synchronized with ToolWatch Cloud, so everyone continues working within the same purchasing workflow regardless of where the request was created.

More Flexible Scheduling for Recurring Service Plans

Recurring Service Plans help automate preventive maintenance by generating Work Orders on a schedule.

Previously, generated Work Orders used the same creation date as the due date. While this worked for some organizations, many maintenance teams wanted additional lead time to schedule technicians and complete work before equipment became overdue.

That's exactly what the new Due Date Offset provides.

You can now configure a Work Order due date offset within your Recurring Service Plans, automatically setting the due date a specified number of days after the Work Order is created.

This gives technicians more time to plan upcoming maintenance without requiring manual due date adjustments.

Smarter Maintenance and Work Orders

Benefits

  • Automatically add lead time to recurring maintenance Work Orders
  • Reduce manual scheduling adjustments
  • Improve maintenance planning
  • Help technicians stay ahead of upcoming service work

Other Enhancements Released this Month

Purchase Request Status Tabs

Purchase Request tabs have been reorganized to better separate requests based on their status. This makes it easier to quickly identify requests that are still in progress versus those that have already been completed, helping purchasing teams stay organized and focus on outstanding work.

Custom Pick Ticket Numbering

Organizations can now use their own Pick Ticket numbering conventions instead of relying solely on system-generated numbers. If a custom pick ticket number already exists, an invalid number warning will appear.

ToolWatch also correctly sorts alphanumeric Pick Ticket numbers, making it easier to locate and organize tickets that follow your company's existing numbering standards.

Improved New User Welcome Email

The email sent to newly created users has been updated with clearer account setup instructions, including direct links to download the ToolWatch mobile app and guidance for creating or resetting their password. These improvements help new users get started more quickly with fewer questions during onboarding.

Smarter Search for Mobile Request

Finding the right item is now faster and easier. The Request search screen remembers your five most recently selected items, and the search bar now automatically searches across categories, descriptions, models, and manufacturers as you type—helping you find what you need with fewer taps.

Available Now

These enhancements are available now as part of the latest ToolWatch release.

Whether you're keeping purchasing moving from the jobsite or giving your maintenance team more time to complete recurring work, these updates are designed to simplify day-to-day operations while helping your team work more efficiently.
