    Compliance Made Simple

Across the construction and safety industries, certification tracking is having a moment — and for good reason.

From forklift operator renewals to OSHA 10- and 30-hour cards, keeping your team’s certifications up to date isn’t just good practice anymore. It’s a compliance essential.

Companies are realizing how quickly an expired license or missing record can lead to project delays, audit headaches, or even costly OSHA citations.

The good news? Safety Reports has everything you need to track certifications and licenses right inside the Training Module — no new add-on required.

A Smarter Way to Stay Compliant

Within Safety Reports, certification tracking happens through the Required Training feature. Despite the name, it’s a powerful tool for managing certifications, licenses, and other recurring credentials.

Admins can build a list of certifications—such as CPR Certified, Forklift Operation, Confined Space Entry, or NCCER Heavy Equipment Operator—and assign how often each one must be renewed. From there, the system automatically tracks which added employees are certified, when those certifications were issued, and when they’ll need to be renewed.

Every time an employee completes a qualifying certification event, Safety Reports updates their record and marks their status as “current.” Admins can then generate a Required Training Report showing who is certified, who’s due for renewal soon, and whose certifications have expired.

This makes it easy to see at a glance:

  • The date each employee’s certification was issued or renewed

  • When that certification will expire or require renewal

  • Whether the employee’s certification is currently active or expired

No more guessing. No more digging through binders or spreadsheets.

Two Simple Ways to Record Certifications

Safety Reports gives you flexibility in how you manage and record certification data:

  1. Link Existing Certifications:
If your team has already completed certifications before setting up Required Training, you can enter the most recent dates so they count toward the requirement. That starts the renewal reminders using the Required Training Report.

  2. Log New Certifications Automatically:
When new certification events are created in the system — for example, a Forklift refresher or annual First Aid certification — you can simply check a box to have that event automatically update the employee’s record once marked as “Completed.”

Either way, your reports will always reflect the most accurate certification status for each employee.

Reporting You Can Rely On

The Required Training Report acts as your digital certification roster. With just a few clicks, you can download a detailed spreadsheet showing:

  • Certification name and type

  • The date it was issued or last renewed

  • The next renewal or expiration date

  • A clear “Yes” or “No” status showing whether the certification is current

It’s an instant compliance snapshot — perfect for internal audits, customer prequalification requests, or simply confirming that every crew member on-site is fully certified.

Why Certification Tracking Matters

Beyond checking boxes, proper certification management protects both your people and your business.

By keeping accurate records and staying ahead of renewal dates, you can:

  • Reduce risk: Avoid citations, penalties, or stop-work orders due to expired credentials.

  • Save time: Eliminate manual spreadsheets and hours of chasing paperwork.

  • Strengthen safety culture: Reinforce accountability and confidence that every worker is qualified to perform their tasks.

It’s a small habit that delivers big results — improving compliance, efficiency, and overall safety performance.

Already Built for You

While other systems are just beginning to roll out certification management, Safety Reports users have had this capability for years.

It’s a proven, reliable way to stay compliant — and it’s already part of your workflow.

If you haven’t set up your Required Certifications yet, now’s the perfect time to start.

Log in to your Safety Reports Admin dashboard, open the Training Module, and click “Required Trainings” to begin building your certification tracking list.
